Build a document register
List the evidence each programme requests instead of making one generic bundle for every application. Record issuing authority, certification, translations, file format, size limit and deadline. Mark an item ready only when it satisfies that recipient’s instructions. A complete scan is not necessarily a certified copy, and an attestation does not resolve qualification equivalence.
Keep your versions separate
Protect original scans and create separate submission copies. A translated record, attested record and compressed upload serve different purposes. Use clear names such as Transcript_University_2026-10.pdf. Keep an application-specific folder containing exactly what you submitted. Do not overwrite your only readable copy with a smaller file.
Check identity consistency early
Compare names, dates and qualification titles across your passport, records and forms. Ask the issuing or receiving authority how to resolve a discrepancy. Never edit an official document yourself to make its contents match. Keep legitimate corrections or explanatory evidence beside the record so they are available when requested.
Plan verification in the right order
School and university qualifications use different authorities. Investigate the current board or IBCC process for school records, HEC for university records and MOFA where international authentication is requested. Follow the receiving institution’s exact requirements for translations and certified copies. Do not buy a service before establishing that the step is needed.
Use the same submission routine
Check readability, page order, orientation and missing edges before uploading. Confirm the right slot, file type and size. Save the acknowledgement, application number and a dated copy after submission. References may need to come directly from referees rather than through your upload.
| Stage | Check |
|---|---|
| Before upload | Readable, complete, correctly named |
| At upload | Correct slot, version, format and size |
| After submission | Acknowledgement and exact copy saved |
| Before deadline | Outstanding references checked |
Protect sensitive records
Use secure account access and backups. Avoid public links for identity or financial records and keep passwords out of shared document folders. Give official recipients only what they need. Consistent organisation reduces mistakes without collecting more private information than necessary.
